AdmissionPros, LLC (“AdmissionPros,” “we,” “our,” or “us”) respects your privacy and is committed to handling personal information responsibly. This Privacy Notice (“Notice”) describes the categories of personal information we collect about visitors to our website at admissionpros.com and any subdomains (including blog.admissionpros.com and resources.admissionpros.com, collectively the “Site”), how we use that information, with whom we share it, the rights you have with respect to your information, and the choices available to you.

This Notice applies to personal information AdmissionPros collects and uses as a controller (in U.S. terminology, as a “business”). It applies to:

  • Visitors to the Site
  • Prospective customers who contact us through the Site or through events, referrals, or other channels
  • Business contacts at our institutional customers and at organizations with which we partner
  • Recipients of our marketing communications, webinars, or thought leadership content
  • Applicants for employment with AdmissionPros
  • Vendors, service providers, and contractors and their personnel

This Notice does NOT cover applicant data that institutional customers process through the AdmissionPros Platform. When you apply for admission to a college or university that uses AdmissionPros, your application data is governed by your institution’s privacy notices and by the agreement between AdmissionPros and your institution. AdmissionPros acts as a service provider/processor for that information, not as a controller. Questions about that information should be directed to the institution to which you applied.

1. Information We Collect

We collect the following categories of personal information:

1.1 Information You Provide Directly

  • Contact information: name, business email address, business postal address, business telephone number, job title, employer name, and institutional or organizational affiliation.
  • Inquiry content: messages, questions, demo requests, RFP/RFI submissions, and any other content you submit through forms on the Site or in direct communications with us.
  • Employment-application information: résumé, work history, education, references, eligibility-to-work information, and other information you provide in connection with applying for a position with AdmissionPros.
  • Event registration information: name, affiliation, contact information, and dietary or accessibility preferences provided for events, webinars, or training sessions.
  • Marketing-list information: when you subscribe to our communications, your email address, name, role, and any preferences you indicate.

1.2 Information Collected Automatically

  • Device and technical information: IP address, browser type and version, operating system, device identifiers, screen resolution, language preference, time zone, and similar technical information.
  • Usage information: pages visited, the date and time of your visit, the referring URL, the search terms (if any) used to reach the Site, links clicked, content downloaded, and time spent on individual pages.
  • Cookies and similar tracking technologies: see Section 7 (Cookies and Tracking Technologies) for details.

1.3 Information From Other Sources

  • Information from your employer or institution: if you are a business contact at one of our institutional customers, partners, or prospective customers, we may receive your business contact information from your employer.
  • Information from referrers: if a current customer, partner, or contact refers you to us, we may receive your name and contact information from the referring party.
  • Information from publicly available sources: business contact information available from public business directories, professional networking sites, and similar sources used for normal B2B outreach.
  • Information from our marketing and analytics service providers: aggregated and individual data about your interactions with our marketing communications and the Site.

2. How We Use Your Information

We use the information described above for the following purposes:

  • To respond to inquiries, demo requests, and other requests you submit through the Site or directly to us.
  • To provide information about our products and services that may be of interest to you or to your institution.
  • To administer events, webinars, training sessions, and other communications you have registered for.
  • To send you marketing communications about AdmissionPros products and services, where permitted by law. You may unsubscribe at any time using the unsubscribe link in any marketing email or by contacting us as set forth in Section 13.
  • To evaluate and respond to your employment application and to administer the employment relationship if you are hired.
  • To administer our business relationships with institutional customers, partners, vendors, and service providers.
  • To operate, maintain, secure, and improve the Site, including analyzing usage patterns, troubleshooting, and developing new features and content.
  • To detect, investigate, prevent, and respond to fraud, security incidents, abuse of the Site, violations of our terms of use, and other illegal or harmful activities.
  • To comply with applicable laws, regulations, and lawful legal process, and to defend our legal rights and the legal rights of others.
  • To carry out audit, accounting, financial, and corporate governance functions.
  • In connection with a corporate transaction (merger, acquisition, financing, asset sale, reorganization, or similar event), to the extent permitted by law.

3. Legal Bases for Processing (For EU/UK/EEA Visitors)

If you are located in the European Economic Area, the United Kingdom, or Switzerland, the General Data Protection Regulation (GDPR) and the UK GDPR require us to identify the legal bases on which we rely to process your personal information. Our legal bases are:

  • Consent. Where you have given consent (for example, by opting in to marketing communications or by accepting non-essential cookies).
  • Contract. Where processing is necessary to take steps at your request before entering into a contract, or to perform a contract with you or with your employer or institution.
  • Legitimate interests. Where processing is necessary for our legitimate interests in operating, securing, and growing our business, including responding to inquiries from you or your employer, marketing our products to business contacts, and improving the Site, provided those interests are not overridden by your rights and interests.
  • Legal obligation. Where processing is necessary to comply with a legal obligation that applies to us.

4. How We Share Your Information

We share personal information only as described in this Section. We do not sell personal information for monetary consideration. See Section 5 below.

4.1 Service Providers

We share personal information with service providers that perform business functions on our behalf, subject to written agreements that require them to safeguard the information and use it only for the purposes we authorize. Our current service providers that process personal information collected through the Site are:

Additional service providers process information AdmissionPros handles on behalf of its institutional customers through the AdmissionPros Platform. Those service providers are governed by the agreements between AdmissionPros and each institutional customer and by AdmissionPros’ Data Privacy & Information Security Policy and FERPA Compliance Statement. A complete inventory of AdmissionPros’ service providers is maintained internally and available to institutional customers on request.

4.2 Analytics Service Providers

We use Google Analytics 4 to understand how the Site is used. Google Analytics 4 collects information about your interactions with the Site using cookies and similar technologies. Information collected through Google Analytics is processed on AdmissionPros’ behalf as a service provider under Google’s Data Processing Terms; it is not used by Google to deliver advertising to you on behalf of AdmissionPros.

AdmissionPros does not use advertising pixels (LinkedIn Insight Tag, Google Ads remarketing, Meta pixel, Bing Ads, or comparable cross-context behavioral advertising trackers) on the Site. See Section 5.

4.3 Professional Advisors

We share personal information with our legal, accounting, audit, insurance, and other professional advisors, where doing so is necessary in connection with the professional services they provide to us.

4.4 Corporate Transactions

If AdmissionPros is involved in a corporate transaction — such as a merger, acquisition, financing, sale of assets, reorganization, or insolvency — personal information may be transferred to the counterparty or successor entity as part of the transaction or as part of the diligence process associated with the transaction, subject to appropriate confidentiality protections. Under the California Consumer Privacy Act and similar U.S. state laws, the transfer of personal information in connection with such a corporate transaction is generally not considered a “sale” of personal information.

4.5 Legal Compliance and Protection of Rights

We may disclose personal information when we believe in good faith that disclosure is necessary to:

  • Comply with applicable law, regulation, or lawful legal process (including subpoenas and court orders);
  • Respond to lawful requests from public authorities, including for national security or law enforcement purposes;
  • Enforce our terms of use, customer agreements, or other contractual rights;
  • Protect the rights, property, or safety of AdmissionPros, our customers, our employees, or others;
  • Investigate, prevent, or respond to fraud, security incidents, or other illegal or harmful activities.

5. Your Privacy Choices — Sale, Sharing, and Targeted Advertising

AdmissionPros does not sell personal information for monetary consideration.

AdmissionPros does not share personal information with third parties for cross-context behavioral advertising, and AdmissionPros does not engage in targeted advertising as defined under the California Consumer Privacy Act (as amended by the California Privacy Rights Act), the Virginia Consumer Data Protection Act, the Colorado Privacy Act, the Connecticut Data Privacy Act, the Utah Consumer Privacy Act, or other comparable U.S. state consumer privacy laws.

AdmissionPros does not deploy advertising or remarketing pixels (such as LinkedIn Insight Tag, Google Ads remarketing tags, Meta/Facebook pixel, or Bing Ads pixels) on the Site. The Site uses Google Analytics 4 for first-party website analytics only, as described in Section 4.2.

Although AdmissionPros does not sell or share personal information as described above, we provide you with the following privacy choices regardless:

  • Cookie preferences: Adjust your cookie preferences through the cookie consent banner or the “Cookie Settings” link in the Site footer at any time.
  • Global Privacy Control (GPC): Send a Global Privacy Control signal through your browser. We honor GPC signals for visitors in jurisdictions where GPC is recognized as a valid opt-out signal. Many privacy-focused browsers (including Brave and Firefox) support GPC; in other browsers, GPC support is available through extensions.
  • Marketing email unsubscribe: Use the unsubscribe link at the bottom of any marketing email from AdmissionPros, or contact us at the addresses provided in Section 13.
  • Direct contact: Contact us at the addresses provided in Section 13 to confirm our privacy practices, raise concerns, or request additional information about your personal information.

AdmissionPros’ position on sale, sharing, and targeted advertising is reviewed periodically. If AdmissionPros’ practices change in the future (for example, if AdmissionPros begins to use advertising or remarketing trackers), this Notice will be updated and the appropriate opt-out mechanisms will be added to the Site.

6. How Long We Keep Your Information

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, including for any legal, accounting, audit, contractual, or reporting requirements. Specific retention periods depend on the type of information and the purposes for which it is used:

Marketing and prospect contact information Retained while the contact relationship remains active or until the individual unsubscribes or requests deletion.
Inquiry and demo request information Retained for the duration of the sales conversation and for a reasonable period thereafter to support follow-up and corporate record-keeping.
Event registration information Retained for the duration of the event and a reasonable post-event period for follow-up and record-keeping.
Employment applications (unsuccessful applicants) Retained for the period required by applicable employment laws and our internal records retention policy.
Website analytics data Retained per the retention configuration of the applicable analytics platform; typically up to 26 months.
Cookie data Retained for the period specified in Section 7.
Financial and corporate records (where personal information is incidentally included) Retained for the period required by applicable tax, accounting, audit, and corporate law (generally a minimum of seven years).

When personal information is no longer required and is not subject to a legal hold or contractual retention obligation, we securely delete, destroy, or de-identify it.

7. Cookies and Tracking Technologies

We use cookies and similar tracking technologies on the Site. Cookie consent management on the Site is operated through HubSpot’s native cookie consent banner. When you first visit the Site, you will be presented with a cookie banner allowing you to accept or reject non-essential cookies; you may change your preferences at any time using the “Cookie Settings” link in the Site footer.

7.1 Categories of Cookies We Use

  • Strictly Necessary Cookies. Required for the Site to function. They support security, network management, and accessibility, and they remember your cookie preferences. Cannot be disabled without affecting Site functionality.
  • Analytics Cookies. Help us understand how visitors interact with the Site by collecting information about pages visited, time on site, navigation patterns, and similar usage data. Provided by HubSpot and Google Analytics 4.
  • Functional Cookies. Enable enhanced functionality and personalization, such as remembering your language preference or content you have viewed previously.
  • Advertising Cookies. AdmissionPros does not currently use advertising or cross-context behavioral advertising cookies on the Site. See Section 5.

7.2 Your Cookie Choices

  • Cookie consent banner: When you first visit the Site, the banner lets you accept or reject non-essential cookies.
  • “Cookie Settings” link in the Site footer: Re-open the cookie banner at any time to change your preferences.
  • Global Privacy Control: We honor GPC signals sent through your browser, in jurisdictions where GPC is recognized as a valid opt-out signal. GPC is supported natively by some browsers (including Brave and Firefox) and is available through extensions in others.
  • Browser settings: Most browsers allow you to refuse or delete cookies through their settings. Disabling cookies may affect the functionality of the Site.

8. Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encryption in transit for connections to the Site, encryption at rest for stored personal information, access controls limiting access to authorized personnel with a legitimate business need, multi-factor authentication for administrative access to systems containing personal information, periodic security testing, and a documented incident response program.

No method of transmission over the internet or method of electronic storage is fully secure. While we use commercially reasonable measures to protect personal information, we cannot guarantee absolute security.

To report a suspected vulnerability in the Site or in any AdmissionPros service, please contact security@admissionpros.com.

9. AI and Automated Processing on the Site

AdmissionPros does not use the Site to make automated decisions about visitors that produce legal or similarly significant effects. The Site does not perform AI-based scoring, eligibility evaluation, or automated decisioning about visitors. AdmissionPros’ platform-level AI features (which include AI-assisted communication drafting and an AI Document Reader supporting institutional admissions workflows) operate within the AdmissionPros Platform under contracts with institutional customers and do not process information collected through this Site.

10. Children’s Privacy

The Site is directed to a business audience. The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided personal information to us through the Site, please contact us at the addresses in Section 13, and we will take appropriate steps to delete the information.

Information about applicants under the age of 18 processed by institutional customers through the AdmissionPros Platform is governed by the institution’s privacy notices, by AdmissionPros’ agreement with the institution, by the Family Educational Rights and Privacy Act (FERPA) where applicable, and by AdmissionPros’ FERPA Compliance Statement.

11. Your Rights

Depending on where you live and the laws that apply to your personal information, you may have the following rights:

11.1 U.S. State Privacy Rights

If you are a resident of California, Colorado, Connecticut, Virginia, Utah, or another U.S. state whose consumer privacy law applies to AdmissionPros, you may have the following rights with respect to your personal information:

  • Right to know / right to access. Request information about the categories and specific pieces of personal information we have collected about you, the sources of that information, the purposes for which we collected it, and the categories of third parties to whom we have disclosed it.
  • Right to correct. Request correction of inaccurate personal information.
  • Right to delete. Request deletion of personal information, subject to exceptions provided in applicable law.
  • Right to portability. Request a copy of certain personal information in a portable, machine-readable format.
  • Right to opt out of sale and sharing. Opt out of any sale or sharing of personal information and of targeted advertising, as described in Section 5.
  • Right to limit use of sensitive personal information. Limit use and disclosure of sensitive personal information to purposes specified by applicable law (we do not knowingly collect sensitive personal information through the Site).
  • Right to non-discrimination. We will not discriminate against you for exercising any of the rights described in this Section.
  • Right to appeal. If we deny your request in whole or in part, you have the right to appeal our decision through the procedures described in our response.

To exercise these rights, contact us as set forth in Section 13. We will verify your identity before responding to your request and will respond within the timeframes required by applicable law. You may designate an authorized agent to make a request on your behalf, subject to our verification procedures.

11.2 EU/UK/EEA Rights

If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have the following rights under applicable data protection laws:

  • Right of access — obtain confirmation that we process your personal information and receive a copy.
  • Right to rectification — correct inaccurate or incomplete personal information.
  • Right to erasure — request deletion of personal information in certain circumstances.
  • Right to restriction of processing — restrict our processing of your information in certain circumstances.
  • Right to data portability — receive your personal information in a structured, commonly used, machine-readable format and to transmit it to another controller.
  • Right to object — object to processing based on legitimate interests or for direct marketing purposes.
  • Right to withdraw consent — withdraw consent at any time where processing is based on consent.
  • Right to lodge a complaint — lodge a complaint with your local data protection supervisory authority.

14. International Data Transfers

AdmissionPros is headquartered in the United States, and personal information collected through the Site is processed primarily in the United States. AdmissionPros does not knowingly market to residents of the European Economic Area, the United Kingdom, or Switzerland through the Site. If you are located outside the United States and choose to visit the Site or to contact us, your personal information will be transferred to, processed in, and stored in the United States.

When transfers of personal information from the European Economic Area, the United Kingdom, or Switzerland to the United States are required, we rely on appropriate safeguards under applicable law, which may include the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Agreement or Addendum, the EU-U.S. Data Privacy Framework (where applicable), or other valid transfer mechanisms.

15. Changes to This Notice

We may update this Notice from time to time to reflect changes in our practices, in technology, in legal requirements, or for other reasons. When we make changes, we will update the “Last Updated” date at the top of this Notice and, if the changes are material, we will provide additional notice (such as a banner on the Site or, where appropriate, direct communication to affected individuals). We encourage you to review this Notice periodically.
